The PNG is a picture of your signature (twice screen size, for sharp results) to use where HTML isn’t accepted, such as some phone apps, or to share a design. Links don’t work inside a picture.

Copy it into your email app

  1. Press “Copy for Gmail” here.
  2. In Gmail on a computer, click the gear icon, then “See all settings”.
  3. On the General tab, scroll to “Signature” and press “Create new”. Give it a name.
  4. Click in the signature box and paste (Ctrl+V or ⌘V).
  5. Under “Signature defaults”, choose it for new emails and replies, then press “Save changes” at the bottom.

Gmail only keeps pictures that come from a web address. An uploaded logo is removed when you paste, so use “Logo address (host it yourself)” for Gmail. The Gmail phone apps use a separate plain-text signature.

About this tool

Email Signature Generator builds a tidy, professional signature from your name, job title, company, phone numbers, email, website, address and links to LinkedIn, X, Instagram, Facebook, YouTube, GitHub and TikTok. Choose one of nine templates, from a classic layout with a photo beside a divider to a plain-text one that is safe everywhere, then an accent colour, text colour, font, size, and whether social links appear as words or small coloured letter tiles.

The preview updates as you type. Switch it to “Dark inbox” to see roughly how apps with dark mode will show it: most lighten dark text and darken light backgrounds, but leave pictures alone, so a black logo on a see-through background can disappear. The tool warns you when an uploaded logo might.

The signature is written the way email apps actually respect: tables, inline styles and fonts installed on almost every device, with no scripts or tracking. Copy it as formatted text for Gmail, Outlook, Apple Mail or iPhone following the steps for each, copy the HTML source, or download it as an HTML file or a PNG picture. Pictures are the one tricky part, and the tool is honest about it: an uploaded logo is stored inside the signature, which Apple Mail and Outlook usually keep but Gmail removes; for Gmail, host the picture yourself and paste its address. Everything you type stays in your browser.

How to use Email Signature Generator

  1. Fill in “Your details”. Leave any box empty and that line simply disappears.
  2. Open “Photo and logo” to upload a logo or paste the address of a picture you host yourself, and “Social links” for your profiles and a closing line.
  3. Under “Look”, choose a template, colours, font, size and how social links are shown.
  4. Check the preview in “Light inbox” and “Dark inbox”.
  5. In “Copy it into your email app”, pick Gmail, Outlook, Apple Mail, iPhone or Other apps, press its copy button and follow the steps. Or use “Download HTML file” or “Download PNG image”.

Tips and good to know

  • Keep it short: name, role, one phone number and your website cover most needs.
  • For Gmail, host your logo somewhere permanent, such as your own website. If the picture moves, old emails show a broken image.
  • Send yourself a test email and open it on a phone and in dark mode before relying on it.
  • Outlook may ask to “Allow pictures” the first time someone receives your email; nothing in a signature can change that.
  • Links inside the PNG can’t be clicked. Use the PNG only where HTML isn’t accepted, or to show someone the design.

Frequently asked questions

Are my details or logo uploaded?

No. The signature, the PNG and the HTML file are made in your browser. Your draft, including an uploaded logo, is saved only in this browser.

Is it free? Is there a watermark?

It is free, needs no sign-up, and adds no watermark, “made with” link or tracking to your signature.

Does it work on a phone and offline?

Yes. You can build and copy a signature on a phone, and once the page is open it works without a connection. iPhone Mail may simplify some formatting when you paste.

Why does my uploaded logo disappear in Gmail?

Gmail only keeps signature pictures that load from a web address, and removes pictures stored inside the signature. Upload the logo to your website or an image host and paste its https:// address in “Logo address”.

Why does the preview show a grey box instead of my photo?

For your security this page is not allowed to load pictures from other websites. Your picture address is in the signature itself, so the photo appears in your emails.

Why did the formatting disappear when I pasted?

Some apps strip formatting when you paste with Ctrl+Shift+V or into a plain-text box. Paste with Ctrl+V or ⌘V into the signature editor, or use “Copy HTML” where the app offers an HTML view.
