      Make one row per item, with the same invoice number on every row of the same invoice. Your business details, logo, template, stamp, payment details and scan-to-pay code come from this form. Save the sheet as CSV, then choose it here.

      Columns the file can have
      • invoice_number required — e.g. INV-0101. Rows with the same number become one invoice.
      • client_name required — who the invoice is for (only needed on the first row of each invoice).
      • client_address — several lines are fine inside one cell.
      • client_email — the client’s email.
      • client_phone — the client’s phone.
      • client_tax_id — the client’s business or tax number.
      • issue_date — blank = today.
      • due_date — blank = issue date plus the payment terms in the form.
      • reference — PO or reference number.
      • type — invoice, quote or estimate (blank = invoice).
      • currency — three-letter code such as AUD, EUR, INR (blank = the form’s currency).
      • description — the item or work.
      • quantity — blank = 1.
      • unit_price — before tax, e.g. 1200 or 1,200.50.
      • discount_percent — e.g. 10 for 10% off that line.
      • tax_percent — e.g. 10 for 10% GST (blank = 0).
      • paid — amount already paid on this invoice.
      • notes — replaces the notes from the form for this invoice.
      • stamp — paid, draft, overdue, confidential or your own word (blank = the form’s stamp).

      Column names can be in any order and any case. Blank cells use the value from this form. Dates work as 2026-10-31 or 31/10/2026.

      About this tool

      Invoice & Quote Generator turns a simple form into a clean, professional PDF. Add your business details and logo, the client, and the work as line items with a quantity, price, discount and tax rate each. The totals work themselves out, down to the balance due after a deposit.

      One switch changes the document between an invoice, a quote and an estimate, with the right wording for each. Numbers count up by themselves, and the preview beside the form is the actual PDF, so what you see is exactly what downloads.

      For the jobs that take time elsewhere: stamp a document PAID, DRAFT or OVERDUE, add a code your client scans to pay (SEPA bank transfer for euros, UPI for rupees, or any payment link), turn a spreadsheet into a ZIP of invoices, and copy last month’s invoice forward with one click.

      Nothing is sent anywhere. Every file is made in your browser, and your business details, drafts and saved clients stay in this browser’s own storage.

      How to use Invoice & Quote Generator

      1. Under “Document”, choose Invoice, Quote or Estimate, check the number and dates, and pick your currency and tax name.
      2. Fill in “From (your business)”, press “Add logo” if you have one, then fill in the client under “Bill to” (or pick one from “Saved clients…”).
      3. Add your work under “Items”. Press “Add line” for each extra item and enter the quantity, unit price, discount and tax rate.
      4. Add payment details and notes, and the amount already paid if there is one. Choose a template and watch the preview.
      5. Optionally choose a stamp under “Stamp” and a code under “Scan-to-pay code”, then press “Download invoice PDF” or “Save as PNG”.
      6. Next month, press “Duplicate as next invoice”. For many invoices at once, press “Download sample CSV”, fill it in, then “Choose CSV file”.

      Web design $1,200 at 10% tax, plus 12 months of hosting at $15.50 with a 10% discount, plus a $20 domain with no tax: subtotal $1,406.00, discount −$18.60, tax $136.74 on $1,367.40, total $1,524.14. With $500 paid as a deposit, the balance due is $1,024.14.

      Tips and good to know

      • Prices are entered before tax. If your price already includes tax, divide it by 1 plus the rate first: $110 with 10% tax is $100 before tax.
      • In Australia and New Zealand, a tax invoice needs the words “Tax invoice” and your ABN or GST number: type “Tax invoice” in “Heading on the document”.
      • Clearing your browser data removes drafts and saved clients. Export a backup now and then if you rely on them.
      • Repeat billing keeps your payment terms: a monthly invoice dated 31 January moves to 28 February, and its due date follows.

      Frequently asked questions

      Are my invoices or client details uploaded?

      No. The PDF is created in your browser and nothing you type is sent to AroraTools or anyone else. Drafts, clients and your business details are stored only in this browser on this device.

      Is it really free? Are there limits?

      Yes. There is no sign-up, no watermark and no limit on how many invoices, quotes or line items you make. The PDF is yours to send, print and keep.

      How do I make many invoices from a spreadsheet?

      Press “Download sample CSV” and fill it in with one row per item, repeating the invoice number for every item on the same invoice. Save it as CSV, press “Choose CSV file”, check the summary, then press “Download ZIP of PDFs”. Your logo, template and payment details come from the form.

      What does the scan-to-pay code contain?

      The balance due and the invoice number, plus your IBAN (SEPA), UPI ID or payment link. SEPA codes only work for euros and UPI only for rupees, so the tool only draws them then. Test the code with your own phone before you send.

      Does it work on a phone, and offline?

      Yes. The form stacks neatly on a phone and the PDF downloads straight to your files. You need a connection to open the page; after that it keeps working offline, including making the PDF.

      Why does my currency show as a code like INR instead of ₹?

      The PDF uses Helvetica, the font built into every PDF reader. It covers English and Western European letters but has no ₹, ₱ or ₦ sign, so those amounts use the three-letter code, and the tool warns you about any other letters it can’t show.
