About this tool
Hours Calculator turns start and finish times into the numbers you actually need: total hours worked, the same total in decimal hours for payroll, overtime and the pay it adds up to. Type each day’s start, finish and unpaid break, and the totals update as you go. A finish earlier than the start, such as 22:00 to 06:30, is treated as a night shift that runs past midnight, so it is never counted as negative time.
It suits casual and shift workers checking a payslip, freelancers billing by the hour, carers and nurses on nights, and managers putting a weekly timesheet together. When you are done, copy the whole timesheet as a table that pastes straight into Excel, Google Sheets or Numbers, or download it as a CSV file.
Two smaller calculators sit beside the timesheet. “Add times” adds and subtracts durations like 3:45 + 2:30 − 0:50, a column of times or 7:30 × 5. “Time between” finds the gap between two clock times or what time it will be after a duration. Switch between 24-hour and 12-hour clocks at any time. Your rows are saved only in this browser.
How to use Hours & Timesheet Calculator
- In “Timesheet”, type a start, finish and break for each row. Times like 9, 930, 9:30 or 5pm all work, and a plain break number means minutes.
- Use “Add row” for more days, “Copy first row down” to repeat a regular shift, or “New week (Mon–Sun)” to start a fresh week with dates.
- Optionally add an hourly rate, pick a currency and choose an overtime rule: after a number of hours per day or in total, at × 1.25, × 1.5 or × 2.
- Read the total in hours and minutes, decimal hours, overtime and pay.
- Press “Copy as table” to paste into a spreadsheet, or “Download CSV”. For quick sums, open “Add times” or “Time between”.
Monday to Friday, 9:00 am to 5:30 pm with a 30-minute break, is 8:00 a day and 40:00 for the week (40.00 decimal hours). Make one day 9:00 am to 7:30 pm, add £20 an hour and overtime after 8 hours a day at × 1.5: that is 42:00 in total, 2:00 of overtime and £860.00 pay.

Tips and good to know
- Payroll usually wants decimal hours: 7 hours 45 minutes is 7.75, not 7.45. Copy the decimal column, not the h:mm one.
- Breaks are unpaid time taken off the shift. If your break is paid, leave the break box empty.
- For a shift of 24 hours or more, split it into two rows. A row with the same start and finish time is flagged rather than guessed.
- Press Enter in any box to jump to the next row; at the bottom it adds a new one.
- Overtime rules differ by award, contract and country. This tool applies the simple rule you choose and is not legal or payroll advice.
Frequently asked questions
Are my hours or pay uploaded anywhere?
No. Every sum runs in your browser. Your rows and settings are saved in this browser’s own storage so they are there next time, and they never leave your device. “Clear all” removes them.
Is it free? How many rows can I add?
It is free with no sign-up and no row limit, so you can track a week, a fortnight or a whole month in one sheet.
Does it work on my phone and offline?
Yes. On a phone each row becomes a small card that is easy to fill in with your thumb. Once the page has loaded it needs no internet connection.
How do I work out a night shift that ends the next morning?
Just type the times as they are, such as 22:00 and 06:30. When the finish is earlier than the start, the tool knows the shift crossed midnight and counts 8 hours 30 minutes before the break.
How do I convert hours and minutes to decimal hours?
Divide the minutes by 60 and add them to the hours. 7 hours 45 minutes is 7 + 45 ÷ 60 = 7.75 hours. The timesheet shows both forms, and “Add times” does it for any total.
Can I use it for billing clients?
Yes. Put your hourly rate in, keep overtime off, and copy the table into your invoice or spreadsheet. The CSV includes every row, the total hours and the amount.
