About this tool
Printing a spreadsheet to PDF usually goes wrong in the same ways: the last two columns land on a page of their own, the header row only appears on page one, and a hidden scratch column suddenly shows up. This tool lays your sheet out the way a careful person would set up Excel’s print settings, and shows you every page before you download.
It reads the workbook in your browser and keeps how it looks: fonts, bold and italic, text colours, cell fills, borders, merged cells, column widths, row heights, wrapped text and alignment. Numbers and dates appear exactly as formatted in Excel — “$1,250.00”, “12.5%”, “3 Mar 2026”, red negatives — and numbers too wide for their column show “####” just as they would in Excel. Hidden rows, columns and sheets stay out, and long text spills into empty neighbouring cells the way it does on screen.
You choose the sheets, whether the columns are fitted to the page width, printed at actual size or squeezed onto one page, portrait or landscape (or automatic: landscape when the sheet is wide), the paper size, grid lines, a print area such as A1:F200, and whether the header row repeats on every page. The file’s own print area, “rows to repeat at top”, page breaks, header and footer are used when it has them. Nothing is uploaded: the workbook never leaves your device.
How to use Excel to PDF
- Tap “Choose a spreadsheet” or drop an .xlsx or .csv file onto the box.
- The PDF is made straight away and shown below, page by page.
- Adjust anything you like — sheets, Size, Orientation, Paper, Print area, header row, grid lines — and the preview updates.
- Page through the preview or zoom in to check the numbers.
- Press “Download PDF”.
A 500-row sales log with seven columns and a merged title: on A4 portrait it comes out as 11 pages, with the column headings repeated at the top of pages 2 to 11, totals in red where they’re negative, and “Page 3 of 11” in the footer the workbook already had.
Features
- Reads Excel .xlsx (and .xlsm) workbooks and CSV files (comma, semicolon or tab separated).
- Keeps fonts, colours, fills, borders, merged cells, column widths, row heights, alignment, indents and wrapped text.
- Excel number formats: thousands separators, decimals, currency, percentages, dates and times, fractions, scientific and coloured negatives.
- Fit all columns to the page width, actual size, or the whole sheet on one page.
- Automatic, portrait or landscape; A4, US Letter, US Legal or A3.
- Header row repeated on every page, or the file’s own “rows to repeat at top”.
- Choose which sheets to include; hidden sheets, rows and columns are left out.
- Print area by cell range, or the file’s own print area; the file’s manual page breaks are followed.
- Optional grid lines, and the workbook’s own header and footer with page numbers and the sheet name.
- Live preview of the real PDF. No upload, sign-up or watermark.
Tips and good to know
- Formulas are not recalculated: the PDF shows the values Excel saved last. If you edited the file in a tool that doesn’t save results, open and save it in Excel or Google Sheets first.
- Charts, pictures, shapes, comments and conditional formatting are left out — the tool prints the cells.
- For a wide sheet, “Fit columns to the page width” with Automatic orientation usually reads best; the note under the result says the scale it used.
- If only part of the sheet matters, type a print area such as A1:H60 rather than hiding columns.
- Old .xls files (Excel 97–2003) and password-protected workbooks can’t be read: save them as .xlsx without a password first.
- CSV files have no formatting, so columns are sized to fit their contents and the first row is printed as headings.
Frequently asked questions
Is my spreadsheet uploaded anywhere?
No. The workbook is read and the PDF is made inside your browser, on your own device. Nothing is sent to a server, so payroll, budgets and customer lists stay private.
Is it free? How big a sheet can it handle?
It is free with no sign-up and no watermark. Sheets with tens of thousands of rows work; the limit is 3,000 PDF pages per file, and very large workbooks are limited by your device’s memory.
Does it work on a phone, or offline?
Yes. It runs in Safari and Chrome on iPhone and Android as well as on computers, and once the page has loaded it needs no internet connection apart from fetching the fonts the first time.
How do I stop columns spilling onto extra pages?
Keep Size on “Fit columns to the page width” (the default). Every column then fits across one page and the rows continue down the pages. With Automatic orientation, a wide sheet is turned to landscape so the text stays bigger.
Can I repeat the header row on every page?
Yes, it’s on by default: the first printed row appears at the top of every page. If the workbook has its own “rows to repeat at top” setting, those rows are used instead. Untick the box to print it only once.
Will it look exactly like Excel’s own PDF?
Very close. Fonts are swapped for open look-alikes set to the same widths, and Excel’s print layout rules are followed. Charts, pictures and conditional formatting are not included, and formulas show their last saved values.
